We are currently looking for an Administrative Assistant to the Director.

Duties and responsibilities include:

  • Managing diaries, organising meetings and appointments
  • Updating and maintaining the database and filing systems
  • Liaising with staff, suppliers and clients
  • Deal with incoming email and post, corresponding on behalf of the Director
  • Logging or processing bills, expenses, invoices and other general data
  • Drafting of quotations and sending them to clients, including follow ups
  • Completing vehicle leasing agreements and leasing procedures
  • Updating internal accounting systems and other accounts related tasks
  • Other general duties

The ideal candidate should:

  • Have at least 3 years’ experience in a similar position
  • Be Customer Literate
  • Be Highly organised with good follow up skills
  • Have an A Level standard of Accounts
  • Be able to work in a team and able to take the initiative to prioritise a varied workload and manage time well;
  • Have good communication skills, both verbal and written in Maltese & English
  • Be flexible with their work schedule, to meet the needs of the business
  • Must be able to exercise discretion and confidentiality
  • Have their own Transport
